Auto
Responder automatically checks your database for records meeting a specified
filter's criteria. When a record or records meet the criteria, a response
is generated. The response can be an SMS and/or an email that gets queued
to the Automation Server.
The response can include merge information and document attachments.
Email responses can be sent either to the contact's email address, or
to a specified email address or group of addresses, such as customer
support representatives.
Auto Responder can create an activity and/or stamp the contact's notepad
when it creates a response. You determine how Auto Responder works with
any database by creating profiles. You can create profiles for any or
all of your databases, and you can create multiple profiles for each
database.
Here are some examples.
Example 1: Call Center Application
Let's say you have a person answering your incoming sales line. When
the calls come in, this person is instructed to add a new record, then
schedule a SMS or email to the contact to send the requested material.
In this case, the Auto Responder can be set up to automatically send
the document as selected by the operator. You no longer need to train
them how to queue a SMS or email.
Example 2: Lead Generation
Assume you have a Prospect database. You just purchased several thousand
names and would like to do a broadcast Email or SMS. You may want to
send an email if they have an e-mail address, otherwise you would want
to send a SMS. Without Auto Responder, you would have to create a filter
to separate the records, then queue the filtered e-mail and SMS separately,
depending on the condition. With Auto Responder, you do not need to
manually queue either group. You can set up Auto Responder to determine
whether an Email or SMS is appropriate, then as soon as the records
are imported, it will automatically start sending the materials
Example 3: Sales & Marketing
When sales people talk to prospects, they often need to Email or SMS
product brochures and other sales material. Without Auto Responder,
they would have to launch the SMS or Email program, select the documents
and then queue them to the Automation Server. With Auto Responder, the
database can be configured so all they would have to do is to select
check boxes in the record for the documents they would like to send,
and save the record.
